Company official email mismatch in Motus

STUCK  Readout first. Full fix below. This page asks for nothing — no login, no PIN, no email.

What it means
FMCSA's record for your company names a company official and an email. Motus will only release the record to a Login.gov identity using that email. If the record's email is old, misspelled, or a former employee's, the claim fails no matter how many times you retry — the record itself has to be corrected.
Whose side the fix is on
FMCSA's — only the agency can edit the official contact on the record
First move
Open one AskFMCSA ticket requesting a company-official email update, and attach the full ownership proof pack in the first message. An incomplete ticket is the #1 cause of multi-week delays — FMCSA asks for the proof and restarts the review clock when it isn't there.
Attach first
Articles of organization (or sole-proprietor equivalent), EIN confirmation letter, government photo ID of the owner/official, USDOT number, old email on file + new email requested.
Realistic wait
Carrier-reported at several weeks through fall 2026 — manual record corrections share the queue with claim disputes, and trade press documented worst cases of 6–8 weeks for supervisor-level review.
Escalation ladder
AskFMCSA ticket (complete, proof attached) → Contact Center 1-800-832-5660 with ticket number → supervisor review → (carrier-reported last resort) congressional casework.

What's actually happening

Under the old Portal, access was looser; records accumulated stale contacts for years. Motus made the company-official email the key to the record, so every stale email in FMCSA's data became a locked door at once. Service guides through 2026 consistently rank email mismatch among the top Motus claim failures.

The fix, in order

  1. Verify what FMCSA actually hasCheck the company snapshot on FMCSA's public records (SAFER / Licensing & Insurance) for the contact details on file. You cannot fix a mismatch until you know exactly what the record says.
  2. Assemble the proof pack before filingArticles of organization, EIN confirmation letter, owner ID, and a one-paragraph statement: record shows X, correct official email is Y, signed by the owner. Build it once, completely.
  3. File one ticket with everything attachedAskFMCSA ticket requesting the company-official email correction, proof pack attached, both emails spelled out. Note your next hard deadline (biennial date, insurance renewal) in the ticket — reviewers can see urgency.
  4. Claim immediately when the correction postsOnce FMCSA confirms the update, claim the USDOT number with a Login.gov account using the corrected email, and finish identity verification in the same sitting so the record is fully yours.

Read the label

Carrier-reported, not in FMCSA's guides: putting 'COMPANY OFFICIAL EMAIL CORRECTION' plus the USDOT number in the ticket subject line gets the ticket routed to the records queue instead of general support, and carriers report noticeably fewer bounce-back questions.

Questions carriers ask about this one

Why can't I just change the email inside Motus?

Because you can't get inside the record until the email matches — that's the lock working as designed. Only FMCSA can edit the official contact from outside, which is what the ticket is for.

What proof does FMCSA ask for?

Ownership proof: formation documents (articles of organization), the EIN confirmation letter, and the owner's government ID. The sizing research on this problem is blunt — FMCSA asks for ownership proof on these corrections, and a ticket opened without it restarts the clock when the reviewer requests it.

Our filing service holds the official email. Is that a problem?

Yes, a structural one. If the service relationship ends, your record's key is in someone else's inbox. Many carriers use the correction ticket to move the official email to an owner-controlled address and give the service access afterward, not the other way around.
